Miles & Hours is built around getting out together and sharing the stories that come from it. This policy explains what information we collect, how we use it, and the choices you have.
The short version
- We collect the information needed to run your account, Events, Activities, and Stories.

- Photos, Entries, and other content may be visible to others according to the feature and its settings.
- When an Event Host requires rules or a document, we record the rules, the document version, and when you agreed.
- Stripe processes payments.
- You can email us to request removal of your personal information, writing, and images. An administrator verifies and processes the request.
- Questions? Contact admin@milesandhours.com.
The full policy below provides more detail.
1. Information we collect
Depending on how you use Miles & Hours, we may collect:
- Account information: Your email address, display name, and other information you choose to provide.
- Event information: Registration details, vehicle or participant information, Event preferences, and communications provided in connection with an Event.
- Activities and Stories: Activity submissions, check-ins, photos, Entries, Field Notes, and other content you add.
- Location information: Location information you choose to provide, including when you use a GPS check-in. A check-in confirms a location at that point; it does not track your route between stops.
- Payment information: Membership and Event purchase records, payment status, and related transaction information. Stripe processes payments and may collect payment details directly.
- Technical information: Information needed to operate and secure the site, such as device, browser, connection, and usage information.
Please avoid including sensitive personal information in public-facing content.
2. How we use information
We use information to create and maintain accounts and memberships; show Events and let people register and participate; provide Activities, check-ins, Participant Journals, and Event Stories; process payments; send service-related communications; respond to questions and disputes; protect and improve the site; and meet applicable legal obligations.
3. What other people can see
Some information you provide is intended to be shared. Hosts can see information needed to manage registrations and participation in their Events. Activity submissions, Entries, photos, and other contributions may be visible to Hosts or other users depending on the feature, the Event, and its settings. When you agree to Host rules or a document, we keep the rules text, document version, and time of your agreement.
Published Event Stories and other public content may be viewed by people who do not have an account. Please consider what you are comfortable sharing before posting.
4. When we share information
We share information when needed to operate Miles & Hours, including with Event Hosts; service providers that help us host the site, store information, send email, and support site operations; and Stripe for payment processing and related services. We may also share information when needed to comply with law, respond to a valid legal request, protect people, investigate misuse, or address a dispute.
A Host may have their own policies and responsibilities for information they receive. Miles & Hours does not control how a Host handles information outside the site.
5. Your data and account
You can access and manage some information using the controls available on the site. To request removal of your personal information, writing, and images, email admin@milesandhours.com. An administrator verifies and processes the request.
We remove identifying account details, personal Stories and other writing, and uploaded images from the active site. We keep Event ownership, registrations, and Activity results when needed to preserve Event history, with identifying details removed where possible. Payment records may be retained for payments, disputes, or legal obligations. Earlier Host-policy agreement snapshots and backups may still contain personal information. Backups may remain until they are removed under the applicable retention schedule; information others have already saved or shared may also remain.
When an account is deleted, its paid membership ends immediately and future renewals stop. Any refund is handled separately. Canceling a paid membership by itself does not delete the account or its information. An inactive account or an account with a canceled paid membership may retain its information as Event history, and the member may return at the Free level.
6. Payments
Stripe processes membership and Event payments. Stripe may collect and use information under its own privacy policy and applicable terms. Miles & Hours receives information needed to manage purchases, memberships, payments, refunds, and related records.
7. Cookies and security
We use cookies and similar technologies needed to support functions such as signing in and maintaining a session. We also use reasonable measures intended to protect information, but no website or method of storage can be guaranteed completely secure.
8. Children
Miles & Hours is not intended for children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided information to us, contact admin@milesandhours.com so we can review it.
9. Changes to this policy
We may update this policy as the site or our practices change. When changes are material, we will provide notice as appropriate.
